Managing SubCentral for Your School

The following documents contain step-by-step instructions for principals, APs, payroll secretaries or anyone who manages the SubCentral System for a school. These individuals are considered system administrators and will have a higher level of access to the system than employees. Some examples of a system administrator's access are the ability to create SubCentral vacancies (not associated with Galaxy), review absences, modify jobs, and view confidential information for their employees and substitutes, etc.

Administrator Training for Beginners: This PDF contains basic information regarding administrator capabilities within the SubCentral System. 

Do Not Use Form: The school has the ability to request that the SubCentral office refrain from sending individual substitutes. This form is used to make such requests at the system administrator's discretion.

SubCentral School Time Change Form: For use when a school's start and end times are listed in SubCentral incorrectly. This may occur when a school is newly opened or makes a schedule change.

Registration

In order to use the SubCentral system, you will need to register with the system using your file number as your Access ID and PIN. You must change your PIN number as part of completing the registration process. You can register and change your PIN Number by calling 718-935-6740.

To register, follow this procedure:

  1. Call the main system number at (718) 935-6740.
  2. Enter your Access ID followed by the star (*) key (DO NOT ENTER LEADING ZEROES).
  3. When the system asks you to enter your PIN, you should enter your Access ID again followed by the star (*) key.
  4. Record your name followed by the star (*) key.
  5. Listen to your work location(s) and job description(s). You are only allowed to create absences for the locations and classifications listed. If they are not accurate, contact the help desk at 718-935-4401.
  6. Create your PIN, followed by the star (*) key. PIN numbers must contain numeric information only and must be at least six digits in length and no more than nine digits.

Validating Employment Eligibility for Substitute Teachers

Please follow the instructions in the links below to validate employment eligibility for substitute teachers. 

Substitute Eligibility: Instructions on utilizing the SubCentral System to determine if the person has a valid credential to serve as a substitute, and to ensure that they are not subject to disciplinary action.

WebConnect: Instructions on a new method of accessing the EE screen to confirm that there are no outstanding arrests or violations which would preclude the person from working, as determined by the Office of Personnel Investigation.
