Parent Leader Accounts

Overview

  • As of April 2025, all Parent Association (PA)/Parent Teacher Association (PTA) leaders and Title I parent leaders (PAC chairs, PAC chair alternates, COPS users) now receive individual @DOEexternal.nyc accounts.
  • In addition, each parent leader organization is assigned a shared inbox and drive that is accessible to presidents and co-presidents (PTA) and chairpersons and alternates (Title 1 parent leaders) through their individual accounts. 

 NOTE: If parent leaders are in multiple parent leader roles, they will only be issued one individual account.

With these accounts, parent leaders can access these applications: 

  • Google Apps including:
    • Gmail, Meet, Drive, Docs, Slides, and Sheets
    • Email is through Gmail
  • Microsoft Apps including:
    • Word, Excel, and PowerPoint
  • Zoom

Parent leaders should reach out to their school's admin designee, district family support liaison, or family leadership coordinator about getting accounts created.

Individual Parent Leader Accounts

  • All Parent Association (PA)/Parent Teacher Association (PTA) leaders and Title I parent leaders (PAC chairs, PAC chair alternates, COPS users) will receive individual @DOEexternal.nyc accounts.
  • In addition, each parent leader organization has been issued a shared inbox and drive that is accessible through their individual accounts.
    • This shared inbox should be used for all banking for the parent leader organization. 
    • This shared drive should be used for all parent leader organization files.
  • Once parent leader elections in your school are complete, your school’s designee should begin creating accounts for all parent leaders.

Shared Parent Leader Inbox and Drive Access

  • Each parent leader organization now has a shared email inbox and drive. 
  • Presidents and co-presidents (chairpersons and alternates) will receive access to the shared inbox and drive for their school. They can access this inbox and drive through their individual @DOEexternal.nyc accounts.
    • Presidents and co-presidents as listed in SPLCI or chairpersons and alternates listed in the iPlan Portal are automatically granted access to the shared inbox and drive at the beginning of the school year.
      • If you are listed as "submitted" in SPLCI (parent leader organization) and have a @DOEexternal.nyc account by August 30, 2026, you should have access by September 15, 2026.
      • If you are listed in iPlan Portal (Title 1 parent) and have a @DOEexternal.nyc account by August 30, 2026, you should have access by September 15, 2026.
      • After that, any newly-elected presidents and co-presidents (chairpersons and alternates) will have to request access for themselves.
  • If a president/co-president (chairpersons and alternates) needs access to additional shared inboxes or drives (because they sit on multiple councils or school PA/PTAs, for example), they can request access using this form 
    • Presidents/co-presidents (chairpersons and alternates) will use their individual account to access the shared inboxes and drives for all their parent leader organizations. (They will only have one individual account.)
  • If a president/co-president (chairpersons and alternates) would like to add another parent leader to the shared inbox or drive, they can submit a request using this form.  Please note: 
    • Only presidents and co-presidents (chairpersons and alternates) can submit the request form
    • Access can only be granted to parent leaders who are listed as"submitted" in the School Parent Leadership Contact Information System (SPLCI), or iPlan Portal (Title 1 parent) and have an @DOEexternal.nyc account  
      • If the parent leader is not listed as "submitted" in SPLCI--and/or does not have an @DOEExternal.nyc account--we cannot give them access.
      • If the parent leader is not listed in iPlan Portal--and/or does not have an @DOEexternal.nyc account--we cannot give them access.
      • For questions or support, please contact your school or district leadership . 
  • Parent leaders should use the shared inbox for their parent organization bank accounts.
  • Parent leaders should use the shared drive for all parent leader organization files.

    We will continue to share updates with principals via Principals Digest and the InfoHub, and they will share any new information with parent leaders and participating staff as it becomes available. We appreciate your understanding and continued partnership.
