Overview
- As of April 2025, all Parent Association (PA)/Parent Teacher Association (PTA) leaders and Title I parent leaders (PAC chairs, PAC chair alternates, COPS users) now receive individual @DOEexternal.nyc accounts.
- In addition, each parent leader organization is assigned a shared inbox that is accessible to presidents and co-presidents through their individual accounts.
NOTE: If parent leaders are in multiple parent leader roles, they will only be issued one individual account.
With these accounts, parent leaders can access these applications:
- Google Apps including:
- Gmail, Meet, Drive, Docs, Slides, and Sheets
- Microsoft Apps including:
- Word, Excel, and PowerPoint
- Zoom
Parent leaders should reach out to their schools, district family support liaison, or family leadership coordinator about getting accounts created.
For all technical issues related to these accounts, either:
- Open a ticket in the Support Hub
- Reach out to your school support person
Timelines for Creating @DOEexternal.nyc Accounts
Individual Parent Leader Accounts
- All Parent Association (PA)/Parent Teacher Association (PTA) leaders and Title I parent leaders (PAC chairs, PAC chair alternates, COPS users) will receive individual @DOEexternal.nyc accounts.
- In addition, each parent leader organization has been issued a shared inbox that is accessible through their individual accounts.
- Beginning September 1, 2025, this shared inbox should be used for all banking for the parent leader organization.
- Once parent leader elections in your school are complete, your school’s designee should begin creating accounts for all parent leaders.
Shared Parent Leader Inbox Access
- Each parent leader organization now has a shared email inbox.
- Presidents and co-presidents will receive access to the shared inbox for their school. They can access this inbox through their individual @DOEexternal.nyc accounts.
- If a president/co-president needs access to additional shared inboxes (because they sit on multiple councils or school PA/PTAs, for example),they can request access using this form
- Presidents/co-presidents will use their individual account to access the shared inboxes for all their parent leader organizations. (They will only have one individual account.).
- If a president/co-president would like to add another parent leader to the shared inbox, they can submit a request using this form.
- Please note:
- Only presidents and co-presidents can submit the request form
- Access can only be granted to parent leaders who are in the School Parent Leadership Contact Information System (SPLCI).
- If the parent leader is not listed in SPLCI, we cannot give them access.
- For questions or support, please contact your school or district leadership .
- Starting September 1, 2025, parent leaders should use the shared inbox for their parent organization bank accounts. The individual @schools.nyc.gov accounts will be turned off on November 1, 2025.
Training and Support
We are holding training sessions for parent leaders on how to access and use their DOEexternal.nyc accounts. Training sessions will take place every other week between August 5, 2025 and December 22, 2025.
