Available Administrative Datasets

Overview

This page lists administrative datasets that may be requested through RFOC for approved research studies. Requests for individual-level, staff-level, school-level, or other non-public NYCDOE data also require RFOC review and approval.

Publicly Available Data (does not require RFOC submission and approval)

Before requesting non-public data, submitters should first review publicly available data sources, including the NYCDOE Information and Data Overview page and NYC Open Data. Publicly available sources may include data on school enrollment and demographics, attendance, NYC School Survey results, School Quality Reports, New York State ELA and Math assessment results, and graduation outcomes.

Non-Publicly Administrative Data (RFOC submission and approval required)

The datasets below are produced annually and include a separate file for each school year unless otherwise noted. Requests must be submitted through the Study Submission Form and reviewed by RFOC.

Requests for any of the data listed below require a detailed justification. If the justification is not sufficient, RFOC may reject the request or ask the submitter to revise the request.

Student Enrollment and Demographic Information 

  • Student Enrollment & Demographics - End of Year Comprehensive Snapshot- Provides an annual snapshot of student enrollment, demographic characteristics, school assignment, and program participation for students enrolled at any point between October 31 and June 30 of the school year.   • Student Enrollment and Demographics - Audited Register * - Provides demographics and enrollment snapshot of active students as of the annual Audited Register date (typically October 31). Check out the full Documentation here.
  • Student Enrollment Transactions (Admits & Discharges) – Student-transaction records documenting each admission, discharge, and transfer into or out of an NYCPS school, which allow researchers to examine student mobility over time.
  • Student Fitnessgram Results - Student-level results from the physical fitness assessment, including performance across multiple fitness measures. Check out the full Documentation here.
    • Student Geographic Data (Zoned DBN)- Student-level records identifying each student's zoned elementary, middle, and high school based on their residential address. Check out the full Documentation here.
    • Student Cohort Assignment – Student-level records identifying each student's expected graduation cohort based on ninth-grade entry year. Four-year and six-year cohort files are available. Check out the full Documentation here: 4-year cohort and 6-year cohort.
    • Foster Care-Student-level records identifying students who were in foster care at any point during a given school year.

    • Student Academic Screeners -Student-level assessment administration and results used to measure and monitor students' foundational reading and mathematics skills over timeCheck out the full Documentation here
    • Student New York State Regents Exam Results- Student-level results from New York State Regents exams, including January, June, and August administrations. Check out the full Documentation here
    • Student New York State Grade 3-8 Mathematics & English Language Arts (ELA) Exam Results- Student-level results from New York State Math and ELA assessments administered to students in grades 3 through 8. Check out the full Documentation here
    • Student New York State Science Exam Results - Student-level results from New York State Science assessments administered to students in tested grades 5 & 8. Check out the full Documentation here
    • Student New York State Identification Test for English Language Learners (NYSITELL)  Results- Student-level results from the NYSITELL, which is administered to determine eligibility for English Language Learner (ELL) instructional services. Check out the full Documentation here
    • Student New York State English as a Second Language Achievement Test (NYSESLAT) Results - Student-level exam results from the NYSESLAT, administered to students receiving ELL services to assess English language proficiency and to be placed out of ELL status.     • Student SAT Results- Student-level exam results from the SAT, administered by the College Board. Check out the full Documentation here
    • Student PSAT Results - Student-exam level exam results from the PSAT, administered by the College Board. Check out the full Documentation here
    • Student Advanced Placement (AP) Exam Results - Student-exam level exam results from the AP, administered by the College Board. Check out the full Documentation here

    Transcript Grade Information

    • Student High School Credit Accumulation - Student-level records of high school credits earned within a school year. This dataset summarizes credit accumulation and is not course-level. Check out the full Documentation here
    • Student High School Grade Point Average (GPA) - Student-level records containing cumulative GPA and GPA by subject area. Check out the full Documentation here
    • Student Course Enrollment and Grades - Student-course records for credit-bearing courses in which students received a final grade. Check out the full Documentation here
    • Student Overage/Under-Credited (OA/UC) - Student-level records identifying students determined to be overage and under-credited. Check out the full Documentation here

    School Application and Admissions Information

    • Student Admissions Data: 3 Kindergarten(3K)  to Prekindergarten(PreK) - Student-level records of 3-K and Pre-K applications and placements.
    • Student Admissions Data: Kindergarten * - Student-level records of kindergarten applications and placements.
    • Student Admissions Data: Middle Schools * - Student-level records of middle school applications and placements.
    • Student Admissions Data: High Schools  - Student-level records of high school applications and placements.
    • Student Specialized High School Admissions Test (SHSAT) * - Student-level records for 8th- and 9th-grade students who took the SHSAT and admission outcomes for New York City specialized high schools, excluding Fiorello H. LaGuardia High School of Music & Art and Performing Arts.
    • Student Admission Data: Gifted and Talented (G&T)  - Student-level records for students who registered for the Gifted and Talented admissions process.  

    Graduation Information

    • Student New York State Graduation Outcomes -Student-level records of graduation outcomes. Check out the full Documentation here

    College and Postsecondary Information

    • Student Postsecondary Enrollment - Student-level records of postsecondary enrollment, including whether a student enrolled in a two- or four-year college, vocational program, or public service within six months of their scheduled graduation date. Check out the full Documentation here
    • Student Postsecondary Degree Attainment - Student-level records on the total number and types of college degrees earned by students within six years of their on-time four-year high school graduation date. Check out the full Documentation here
    • Student College and Career Readiness Metric (CCR) - Student-level records for students in the four-year graduation cohort showing whether students met college- and/or career-ready standards. The metric uses exam results, course grades, and advanced coursework to assign a readiness score. The CCR is intended as a replacement for the College Readiness Index (CRI) that was reported from 2012 to 2020. Since 2020.

    Attendance Information

    • Student Attendance (Annual) - Student school records showing the number of days a student was present and absent during a school year. Check out the full Documentation here
    • Student Attendance (by Month)*- Student-level monthly records showing the number of days a student was present and absent each month. Check out the full Documentation here

    Disciplinary Information

    • Student Discipline Data: Suspensions- Student-level records related to suspension actions, including suspension events and associated information.
    • Student Discipline Data: Incidents - Student-level records related to reported student disciplinary incidents.

    Staff Employment Information

    • Teacher Pedagogue * - Staff-level records for educators and school-based staff who work closely with students. Check out the full Documentation here
    • Student to Teacher Course Linkage - Student-course records linking each student enrolled in a course to the course's primary teacher. Check out the full Documentation here

    School Information

    • School Location Code Generation and Management System (LCGMS) - School-level information on school buildings, locations, and related school organization details. Check out the full Documentation here

    Other data

    Please note: Requests for data not listed above may require additional review and approval by the NYCDOE office(s) responsible for that data before they can be shared. 

    * Requires additional review by specific program teams.
